Terms of Service

These Terms of Service (“Terms”) govern your use of the CIVICA Colorado parent portal (the “Service”). By creating an account or using the Service, you agree to be bound by these Terms. If you do not agree, please do not use the Service.

1. Eligibility

You must be at least 18 years old and a parent, legal guardian, or authorized adult of a prospective or enrolled student to create an account. By creating an account, you represent that the information you provide is accurate and that you have the legal authority to submit applications and information on behalf of any minor student associated with your account.

2. Your account

You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account. Notify us immediately at support@civicaco.org if you suspect unauthorized access. We may suspend or terminate accounts that contain false information or that we reasonably believe are being misused.

3. Use of the Service

You agree not to:

• Submit false, misleading, or fraudulent information, including but not limited to inaccurate student grade levels, residency, sibling relationships, or priority claims;
• Attempt to access accounts, applications, or student data belonging to other families;
• Use the Service to harass, threaten, or defame any other user, student, family, or CIVICA Colorado staff member;
• Interfere with the operation of the Service, including bypassing security measures, scraping data, or running automated tools against the Service.

4. Student information & FERPA

Student records submitted through the Service are educational records under the Family Educational Rights and Privacy Act (“FERPA”). CIVICA Colorado maintains these records in accordance with FERPA and applicable state law. Our handling of student information is described in our Privacy Policy.

5. Enrollment is not guaranteed

Submission of an application through the Service does not guarantee admission to any CIVICA Colorado school. Admission is determined by lottery, available seats, applicable priority categories, and verification of submitted information. Final enrollment is contingent on completion of the registration packet, document verification, and any other school-specific requirements.

6. Communications

By creating an account, you consent to receive transactional communications from CIVICA Colorado by email regarding your account, applications, and student enrollment status. Opt-in to SMS text messages is separately handled — see our SMS Terms. You may opt out of SMS messages at any time without affecting your ability to use the Service.

7. Disclaimer of warranties

The Service is provided on an “as is” and “as available” basis. CIVICA Coloradomakes no warranties, express or implied, regarding the Service's reliability, availability, or fitness for a particular purpose, except as required by applicable law.

8. Limitation of liability

To the maximum extent permitted by law, CIVICA Colorado shall not be liable for any indirect, incidental, consequential, or punitive damages arising out of or related to your use of the Service. Nothing in these Terms limits any liability that cannot be limited under applicable law.

9. Changes to these Terms

CIVICA Coloradomay update these Terms from time to time. Material changes will be communicated by email or by updating the “Last updated” date above. Continued use of the Service after such updates constitutes acceptance of the revised Terms.

10. Governing law

These Terms are governed by the laws of the state in which CIVICA Colorado operates (CO), without regard to its conflict-of-law provisions.
